Laboro Time and Attendance Software - Features, Modules and Reports

Basic Modules
Employee Record
Simple but extensive human resources solution (HRSI). Easily manage your employees
(personnel) in the Employee Records module by having all relevant employee data
in one place. This module also includes:
- Import of existing employee list using step-by-step guide of Data Mapping Wizard
- Export Employee List into other formats (pdf, xls, xlsx, txt and others)
- Detailed tracking of employee annual leave / vacation
- Detailed tracking of all changes on employee data (change history)
- Grouping employees by business units / departments
- Search, filter, sort, find and print employee list /personnel records
Employee Time
Track your employee absences together with their work hours, reasons for absences,
overtime tracking, etc. All data are presented in a clear, calendar-like overview.
This module also includes:
- Export attendance data into formats supported by most payroll software using the
step-by-step guide of the Payroll Data Export Wizard
- Data upload from an access control device (card reader, fingerprint scanner or other
biometric security system)
- Data upload from Quick Punch (a PC-based punch clock)
- Locking the record as an additional security from data loss
- Automatic control of monthly work hours quota (working hours per month)
- Several different methods of data input (fill in shortcuts such as fill in selected,
fill in by schedule, copy / paste, etc.)
- Quick Entry option for unusual work time combinations that repeats frequently (e.g.
split shift)
- Tracking attendance in a very detailed way / entry of different attendance marks
at once (up to four different attendance marks can be entered, (e.g. field work
+ regular hours + overtime – all in a same day)
- Holidays and non-working hours are marked in the calendar (free adjusting through
module directories)

Employee Time Clock Software
PC / Web-based punch clock, Quick Punch, is an excellent tool for registering employee
clock ins and clock outs. Using this module allows you to have detailed reports
on the productivity of your employees. The tool can be installed on one computer
accessible to all employees or on several computers in one network where the employee
can register their clock ins and outs with their ID number and PIN. Collected data
are administrated by the person responsible for the administration of the time and
attendance record.
Employee Attendance and Personnel Management Reports
A large number of various reports assure good analysis of collected data. Reports
can be generated by a great number of parameters (e.g. by employee, by attendance
mark, by category) for given time period. Time periods are not preset, which means
that you can make a report for two days, two months or two years – you choose what
time period you want to observe.
Directories
Laboro comes with a large number of predefined directories. A directory is a list
of values that are frequently used within the application, for example, one directory
is Attendance Marks where all cause of presence or absence are listed, another directory
– Benefits –contains a list of the most frequent benefits that employees receive.
All directories are completely editable; you can delete or change all predefined
entries or add your own specific entries.
Additional Modules
In addition to modules that are common to all editions, there are a few additional
modules that are required for more complexes record keeping or in more complex forms
of organization. Some additional modules are already incorporated into some editions
(check pricing) but all of them can be ordered separately regardless of which edition
you have.
Integration with a Biometric Time Clocks
Laboro can interact with many models of card readers, fingerprint scanners and other
access control devices (biometric time clocks, controllers). This module is especially
useful if you already have (or intend to have) access control devices, but reports
and overviews generated by their software are not detailed enough or simply not
in accordance with your needs. This module includes a Data Mapping Wizard where
you are guided step-by-step in a process of setting a connection directly to an
access control device or to its database.
Work Time Planning (Scheduling)
This module is very useful if you have any kind of unusual working hours (e.g.,
shift work, night work, the frequent business trips and trainings, or split shift).
You can also have your annual leave (vacation) schedule in place using this module.
Data from the schedule can be easily uploaded in the Time and Attendance Record.
Access Rights
With this added functionality, you can set:
- Access rights of application users (roles) – the Application Administrator can set
different access rights of each user (for example, by initial settings the User
will see details of his/her department, while the Attendance Records Administrator
will see data of the entire organization).
- Access rights to modules – the Application Administrator can set different access
rights of each user to specific modules (for example, only the Employee Records
Administrator can print reports on employees, or only the Attendance Records Administrator
can unlock a record once a Time and Attendance Record is locked)
This module is mostly used by larger organizations where the application is utilized
by a larger number of users from different departments or different locations. A
very good example that illustrates the usefulness of this module is, a requirement
that a human resources person has full access to Employee Records (personnel records
management) but no access to Time and Attendance Records, while the manager has
full access to Time and Attendance Records but no access to Employee Records.

Employee Record
- A clear overview of employee personal information – Name (first, middle and last),
National Identification Number (such as Social Security Number / SSN or Social Insurance
Number/SIN), Salutation, Date of Birth, Marital Status and Gender, Photo
- Job and Position Overview – Employee ID, Job Title with extra space for job description,
Hire Date, Department and Location where employee is working, employee’s Supervisor,
Employment Status, Work Status (such as Full-Time, Part-Time or Temporary), Employment
Type (such as Regular, Seasonal or Contractor)
- Extensive Contact Information – E-mail, Phone and Mobile as primary way of contact
with additional fields to record alternative ways for contacting employees (e.g.,
home address)
- Job and Position Details – Compensation (amount / salary that employee earns on
hourly, daily, weekly, bi-weekly, monthly, semi-monthly or yearly basis), note if
there is agreement of Overtime Exclusion, Shift Information (Work Time), Work Hours
(how many hours employee works in one day, week or month), what kind of a Work Week
applies to employee (40-hour Work Week, 48-hour Work Week, 35-hour Work Week, 5-day
Work Week, 6-day Work Week or Shortened Work Week), note day when work week starts
and ends
- Annual Leave Record – track employee annual leave/vacation, set entitlements by
which you approve annual leave days/hours, clear overview of periods when annual
leave was used and when employee is planning to use annual leave
- Flexible Change History – preset which data you want to track, track dates when
change took place, write in additional notices, have change history one click away
- Additional relevant records – Benefits that employee is receiving (e.g., Medical,
Dental, Life Insurance, Pension, Car Allowance, Bonus, Car Parking, Laptop, Mobile
Phone, Private Fuel), tracking of all Certifications employee might have, Trainings
that employee successfully finished, Awards that employee earned, Evaluations conducted
and results, Skills, Warnings and Accidents
- Additional notices that may apply to employee and are job related– Job Category
(track EEO categories), Length of Service, Disability, Citizenship, Work Permit
number and expiration date, Termination Date and reason.
- Additional notices that are important but not directly job related – information
on employee’s Formal Education (School attended, Degree obtained, Awards and Honors
received), employee’s Emergency Contact
Time and Attendance Record
The Time and Attendance Record is organized in the form of a calendar or matrix
where you list of your employees in one column and days of the selected month in
the top row. You can choose from a variety of input methods, which assures that
you enter data on work time and work hours easy and quickly. You can choose from
a large number of predefined attendance marks so you can precisely specify every
work hour (detailed tracking of presence and absence of your employees).
